PAIA Manual

A guide to the records Word of God Church holds, and how to request access to them.

Starter document — not yet finalised. This is a simplified manual sized to a small congregation. Under Section 51 of the Promotion of Access to Information Act (PAIA), every private body — churches included — must make a manual like this available; it does not need to be submitted anywhere unless the Information Regulator specifically asks for it. Fill in every [EDIT] marker, and if the church ever receives a formal PAIA request, it's worth getting a professional to check this document properly at that point.

Date of compilation: [EDIT: date]

1. Acronyms

2. Purpose of this manual

This manual helps you:

3. Contact details

4. Records available without a formal request

The following are already public and don't require a PAIA request — just visit the relevant page:

5. Categories of records we hold

Beyond what's public, the church holds records in these categories, which may be requested as described in Section 6:

Contact & Enquiry Records

Submissions from the website Contact form: names, contact details, and messages.

Giving & Financial Records

Records of gifts given through the church, including online giving submissions.

Governance Records

Leadership and organisational records relating to how the church is run.

Event Records

Planning and attendance-related records for conferences and gatherings, such as the annual church conference.

6. How to request a record

If you'd like access to a record that isn't already public, contact our Information Officer (Section 3) in writing, describing the record you're looking for as clearly as you can. We will respond within the timeframes set out in PAIA. A reasonable fee may apply for reproducing or providing copies of records, as permitted under PAIA. Some requests may be declined where PAIA allows this — for example, to protect the privacy of a third party's personal information.

7. Where records are stored

Digital records submitted through this website (contact and giving forms) are processed via Netlify, a hosting provider with infrastructure outside South Africa.

8. Updates to this manual

Our Information Officer will review and update this manual as the church's record-keeping changes — for example, if we add new systems (a database, mailing list, or accounting software) that hold personal information.
